HISI performs med-surg/supply inventories utilizing a variety of methods. As with pharmacy inventories HISI offers inventories ranging from full service Audio Dictation to supplying manpower to conduct inventory utilizing client equipment or inventory count sheets.
Audio Dictation
The HISI Audio Dictation inventory service is designed to provide the client with a completely itemized, priced, and extended report showing all disposable supply items.

The physical count is taken using portable dictation devices. This enables HISI to efficiently and accurately gather the inventory data with minimal prep work and/or disruption to your normal activities. Our internal quality controls ensure precise inventory results through proper valuation and comprehensive auditing.

The valuation of the supplies inventoried is obtained from the price lists (usually item masters or PO files) and pricing instructions provided by the healthcare facility or from pricing obtained from manufacturer catalogs maintained in a proprietary database continually updated by HISI.

HISI utilizes Business Objects, an industry leading reports application, to provide final inventory reports on computer printout and/or electronically. Standard final reports are: Section Totals, Manufacturer Totals, As-Called report (itemized audit trail sorted by section location), Area (or Cost Center) by Manufacturer by Description, and Area by Description. Customized reports, for data analysis, can be tailored to the individual facilities needs. HISI also has the ability to provide reports reflecting the MMIS for easy reference and consolidated metrics.
Netbook Based Inventory System
Netbook Based System Inventory The HISI Netbook based inventory system is designed to provide the client with a itemized, priced, and extended report showing all disposable supply items on-site.

The physical count is taken utilizing ultraportable netbooks and a client's own Item Master or PO File. While there is some prep work prior to the inventory, this method allows for the generation of audit reports on-site. Our internal quality controls ensure precise inventory results through proper valuation and comprehensive auditing.

By utilizing HISI's proven method of inventory with state of the art technology allows for on-site information return and audit reports. This method allows for varying levels of services from the most basic to full service.

Hospital System Inventory
Hospital System Inventory HISI can provide healthcare facilities with knowledgeable manpower needed to conduct inventories utilizing the departments' internal systems.

Unlike Audio Dictation this inventory service requires both prep work and actual inventory involvement by hospital personnel. HISI requires that the all products to be counted are labeled with the information necessary along with a count UOM. The facility must also supply a contact with the ability to upload the units and print inventory reports. Reports are a must to review inventory for UOM discrepancies and conduct audits.

By using HISI resources, hospitals can use their internal inventory modules but still maintain the integrity of a third party inventory count.

HISI offers a variety of scenarios for conducting a count sheet inventories.

Facility Generated Count Sheets

When the hospital has an inventory system in place and can generate accurate, location specific count sheets HISI will perform the inventory using those documents. The facility should supply samples of the sheets and an approximate line item count for each department as well as estimated man hours past counts have taken.

The HISI inventory team will make the physical counts and record the quantity of the merchandise inventoried utilizing count sheets from hospital systems. Unless otherwise instructed, items not found on your count sheets will be hand written on blank count sheets provided by the hospital. HISI personnel will specify section, quantity, package size, manufacturer, manufacturer's catalog number and full description for the “write-in” items.

Once the entire section has been counted, the auditor will return count sheets to HISI supervisor who will perform test counts with auditor to ensure accuracy. HISI supervisor will coordinate with hospital contact person the procedure for accounting for inventory sheets and variance checks.

HISI also offers a data entry service to assist facilities in updating the system information in a timely manner.


HISI Generated Count Sheets

When the hospital does not have a system in place HISI offers a 2 phase count sheet inventory process.

HISI will visit the facility in order to compile the data necessary to create detailed count sheets. The count sheets will include the inventory location, Manufacturer, Product Number and a detailed description of the products. Additional information may be included on the count sheets if requested.

Once the required information is complete HISI will return to the facility to count the inventory. As with the hospital generated count sheets, items not found on the count sheets will be hand written on blank count sheets provided by the HISI. HISI personnel will specify section, quantity, package size, manufacturer, manufacturer's catalog number and full description for the "write-in" items.

Once the entire section has been counted, the auditor will return count sheets to HISI supervisor who will perform test counts with auditor to ensure accuracy. HISI supervisor will coordinate with hospital contact person the procedure for accounting for inventory sheets and variance checks.

If desired the completed count sheets can be processed to provide the client with a fully itemized and priced inventory. Processed inventory information can be returned on computer printout and/or electronically utilizing Business Objects, an industry leading reports application. Standard final reports are: Section Totals, Manufacturer Totals, As-Called report (itemized audit trail sorted by section location), Area (or Cost Center) by Manufacturer by Description, and Area by Description. Customized reports, for data analysis, can be tailored to the individual facilities needs. Electronic data can be formatted for upload to hospital internal data systems.
